There are several ways to get in touch with Lytton's Mayor and Council:

Writing to Council

You can engage with your elected officials through official correspondence, which will be included in the agenda of a Council meeting.

Requirements

To have your letter included as official correspondence, you must do all of the following:

  • Address the letter to "Mayor and Council."
  • Include your full name and current contact information (your address, telephone number, and email address).
  • Sign the letter, unless you are sending it by email.

Do not include any video or audio files (e.g., .mp3 or .mp4 file types) with your letter.

The Village must receive your letter no later than noon on the Wednesday before a Regular or Special Council Meeting for your letter to be included in the Council agenda. All submissions will form part of the public record.

Any correspondence that is anonymous, illegible, or defamatory will not be included in the Council agenda.

If the correspondence is related to staff performance, it will not be included in the Council agenda and will instead be referred to the Chief Administrative Officer.

What happens next?

Your letter will be included in the Council agenda under the Correspondence section. It will be acknowledged ("received") during a Council meeting. Personal phone numbers and email addresses will be redacted.

During the meeting, Council can choose to do any of the following:

  • Receive your letter,
  • Direct further action, or
  • Refer it to staff.

After the meeting, the Corporate Officer will respond to anyone who has sent official correspondence with an update on Council's action.

Presentations and delegations

A delegation to Council is a short presentation by an organization or individual at a Regular Council Meeting.

To request a delegation or presentation to Council, email lstoroshenko@lytton.ca and include the following:

  • Your name or the name of the presenter
  • Address and contact information
  • Name of the organization you are representing, if applicable
  • The date when you wish to attend (See the Council Meeting schedule.)
  • A summary of the submission the delegation intends to make to Council
  • Whether you intend to use a PowerPoint presentation

If you intend to use a PowerPoint presentation, please attach a PDF of your presentation with your request.

The Corporate Officer must receive the delegation request by noon on the Wednesday before the Council Meeting.

Next steps

Staff will review and consider your request.

  • The Corporate Officer will contact you if they are scheduling your presentation for a future Council meeting. Not all requests are approved.
  • If your request is not approved, staff will suggest other ways of sharing your information with Council.
  • The Corporate Officer may refuse to place a delegation on the agenda if the issue does not fall under the jurisdiction of Council or if the delegation has already presented to Council within the last 12 months and no significant new information will be provided.

Each approved delegation is allowed up to 10 minutes to speak and present at the start of a Council meeting.

Public question and answer period

At the start of every Regular Council Meeting, there is a public question and answer period.

As a member of the public, you can ask Council a question at this time. You will be asked for your full name for the record before asking your question.

Your questions must be limited to matters that are being considered by Council during that particular Council meeting. This is not a time to make a presentation or to debate an issue with Council.

Public hearings

Public Hearings are required by the Local Government Act to allow the public to make representations to Council about proposed amendments to official community plan and zoning bylaws.

You can share your input for a public hearing by writing a letter, dropping off a letter in person, or attending a public hearing by Zoom or in person.
