Community members
You can access most public records that are held by the Village in one of two ways:
Reporters and editors
Find guidelines and contact information for media requests.
Municipal records that are made public or available by default ("routinely available") do not require a formal request.
Access these records online:
- Council meeting agendas and minutes
- Bylaws, policies and procedures
- Public notices
- Routinely available financial information
- Reports and plans
Alternatively, Village staff can assist with your routine information request. Contact the department responsible for the information you are looking for.
For municipal information that is not routinely available, you must make a formal Freedom of Information (FOI) request in writing. These types of records may contain sensitive or confidential information.
Make a formal FOI request
There are two ways to provide the details of your request:
- Download and complete the Request for Access to Records form, or
- Write a letter or email with details of your request.
Clearly define your request
Narrow down the scope of your request to a specific time range, type of record, property address, or municipal process. The FOI Coordinator can help you clearly define the records to search, so you can access the exact documents that you are looking for.
Requesting "all records related to xxxx subject" is too broad, as this could involve more than 30 years of records.

Timing
The Village will fulfill your FOI request within 30 business days (excluding weekends and holidays).
If the retrieved records include third-party materials that require consultation, the Village may require an extension and will let you know.
Fees
For a large volume of records, you may be required to pay a fee. The FOI Coordinator will inform you if this is the case. A deposit would then be required to complete the request.

Representing another person
If you are representing someone whose personal records you are trying to access, you must get their permission to access their personal information.
Freedom of Information and Protection of Privacy Act
The Province of BC's Freedom of Information and Protection of Privacy Act (FOIPPA) helps make public bodies more accountable and protect personal privacy by:
- Providing the public with access to records whenever possible.
- Preventing the unauthorized collection, use, and disclosure of personal information.
The Village of Lytton is defined as a public body according to FOIPPA.
The main principle of FOIPPA is that all municipal information should be available to the public, with a few exceptions.

Media requests
The Mayor is the official spokesperson for the Village of Lytton. Other members of Council or staff may provide interviews at the Village's discretion.
For all media inquiries and interviews, email communication@lytton.ca and include the following:
- Your contact information and the publication/channel that you work for
- Your topic and any specific questions
- The format of the interview and timing (for example, by phone or Zoom or live in person)
- The host
- Any other guests
- Your deadline
We will respond to your inquiry as soon as possible.
